VIRTUAL FINANCIAL ADMINISTRATIVE ASSISTANT

The role of the Virtual Financial Administrative Assistant focuses on providing excellent administrative expertise and support to financial advisors. This Administrative Assistant will perform a variety of tasks in support of and according to the needs of different financial advisor offices.

MINIMUM QUALIFICATIONS

  • Must be based in the U.S.

  • Must be able to pass a background & fingerprint check.`

  • Must have 1-yr minimum experience working in an advisor/investment industry-related job

  • All employees will have a 90-day probationary period.

  • Must have excellent & effective communication skills.

  • Must be willing to sign a confidentiality agreement as well as a non-compete agreement. Additionally, if employed by IP, employees cannot work for another financial investment office.

  • All employees will be required to supply their own laptop, have at least 1 additional monitor, a dependable internet connection, phone service, and software programs including but not limited to Microsoft Office

  • Weekly commitment hours will fall within one of the 4 ranges below:

    • 20 hours

    • 20-30 hours

    • 30-40 hours

    • 40+ hours

  • Must be available to work most work hours during the normal 9 AM -5 PM business hours.

KEY ACCOUNTABILITIES/DUTIES

Duties include but are not limited to:

  • Manage multiple advisor offices.

  • Extract data from various systems, as well as data entry into a variety of systems/programs.

  • Use advanced knowledge of financial and information systems.

  • Determine/recommend areas in need of improvement and provide the appropriate tools for improvement.

  • Perform analytical, administrative, coordinating, and monitoring duties related to the creation of new clients, new accounts, money movement, NIGOs, etc.

  • Provide management with reports and analysis of their ongoing activities and outcomes.

  • Provide updates and/or changes to the management team.

  • Complete, evaluate, update, and communicate, directives, activities, and all other necessary job duties, which promote the successful operation of the various office/advisor/account needs.

  • Identifying areas of concern and non-compliance.

  • Manage multiple complex calendars.

  • Manage meeting and event coordination (may include all logistics on or offsite, agendas, document creation, etc.).

  • Create and proofread all materials for accuracy and clarity.

  • Manage phone calls, email, file organization, office storage and office supplies.

  • Interaction with individuals from all levels of the organization and outside of the organization.

  • SharePoint site administration

  • Other duties and special projects as assigned.
